Agent-Level Calendars provide flexibility and precision by allowing your AI to book tours that are assigned to specific agents based on their availability, including travel time. This feature allows you to book tours on the agent level instead of the building/community level.
With this feature, prospects are matched directly with the optimal team member, reducing wasted travel time and increasing total available slots. Your AI Assistant can:
- Schedule agents across multiple buildings.
- Estimate travel time between buildings, ensuring that agents can reach their appointments on time.
NOTE: Agent-level calendars require EliseAI to be your single source of truth for scheduling availability. This feature is not supported with external CRMs.
Getting Started
To set up Agent-Level Calendars, follow the steps outlined below. Each step includes links and settings locations within your EliseAI portal.
Step 1: Set Agent Schedules
Start by setting availability for each agent in your organization.
- Go to Settings > Calendars & Tours > Agent Schedules: Link to Page
- Click the Agent tab at the top of the page. (The page opens to the Building tab by default.)
- Click Add Schedule for each agent to define their available days and hours
Note: You can update agent schedules at any time as availability changes. - (Optional) Use the Prioritize agent for scheduling box to manage booking preference:
- Check the box for agents you want to be first in line for tour assignments.
- Uncheck the box for agents who serve as backups or overflows—such as Community Managers—who are only booked if no prioritized leasing agents are available.
- Click Save after each update.
User Access: At this time, only organization admins can create, edit, update, or delete agent schedules. This is subject to change in the near future.
Step 2: Add Agents to Each Property
Next, assign your agents to the specific properties they support for tours. Link to Page
- From the Agent Schedules page, return to the Building tab (this is the default view).
- Select the property you want to configure
- Click Add Agents and choose the agents who manage tours for that property
Tip: Make sure each property includes only agents for whom you set up availability in Step 1.
Step 3: Enable Agent-Level Booking
Finalize setup for each property by switching its booking mode from building-level to agent-level.
- Click Settings in the AI Portal's left sidebar, then click Calendar and Tours in the Settings dropdown.
- Select a specific property in the page's left sidebar.
- Under the Tour Settings section for In-Person Tours, change Booking Type from Building to Agent.
- Click the Save button that appears when you make the change.
{Optional} Sync Outlook Calendars
The EliseAI Portal is a multi-tenant enterprise application. To enable your users to access it, your organization must grant admin consent and configure app access.
1. Admin Consent
You must grant admin consent using the following link:

with your organization's actual Microsoft Entra tenant ID. -
Do not change the
client_id
— this is EliseAI’s permanent application ID and must remain unchanged.
2. App Access Configuration
Once admin consent is granted:

Navigate to "Users and Groups"

Click "Add User/Group" and assign access to all relevant users or teams who should have permission to use the EliseAI Portal.

Note: Only properties configured to use agent-level booking will be able to sync calendars with Outlook.
Additional Notes
- Agent-level booking helps personalize the tour experience by directly connecting prospects with available staff.
- Only properties configured to use agent-level booking will route tours to individual agents.
- If no agents are available for a given time, that time slot will not be shown to prospects.
- If you make this change after launch, any previously booked tours will not be automatically reassigned. You must manually reassign these tours to specific agents. The AI cannot retroactively apply the new booking type to past reservations.
