Accessing the Lease Audit Tool
To navigate to our Lease Audit Tool, open up your AI Portal and click Lease Audit on the left side panel.
On the left side under Lease Audits, you can view property-level data. Use the search box to search for specific leases or residents, and use the toggles underneath to only view leases with discrepancies or that are awaiting your feedback. Residents will appear in the column underneath.
Once you select a resident, you'll see their lease terms appear at the top of the page. This information is pulled directly from your PMS. The center column, Ledger Audit Results, will pull up any results awaiting review by you or your team. Use the Ledger box to the right to search through the ledger.
The Ledger Audit Results section automatically flags potential issues (such as undercharges or mismatched fees) so you don't have to dig for them manually. All discrepancies will require feedback to confirm that the discrepancy flagged requires actions or is a false alarm.
Reviewing Discrepancies
Each flagged discrepancy is tied to a line item in the leasing ledger, making it easy to quickly review. Click on each discrepancy to view additional details.
To review a discrepancy, you can click on the blue PDF icon on the right side to bring up a side panel view of the lease, where the tool identified the discrepancy. Then, use the search function in the ledger to review the payment history for that line item.
To mark discrepancies as an action needed item or a false alarm, open the details of the discrepancy and click either "Action Needed" or "False Alarm" for the corresponding item. You can mark these individually, or you can use the "Mark All Issues As" option to quickly resolve every line item under that discrepancy.
The system will prompt you to enter comments about why the said transaction was marked as Action Needed or False Alarm, so that the AI can learn from your responses.
Teaching the AI
As you and your team review discrepancies flagged by the tool, you may also leave general comments at the bottom of the page so that the AI will learn from you. Use the comments section to explain exceptions, confirm charges, or correct errors. Each piece of feedback will help make the system smarter for your entire team.
