You can configure Renewals Settings for your organization and your individual communities in the AI Portal. These settings ensure that your AI shares accurate renewals information with your residents.
To access Renewals Settings:
- Click on Settings in your AI Portal's left sidebar.
- Click Resident in the Settings dropdown menu.
- Click the Renewals tab on the Settings - Resident page.
NOTE: Only Organization Admins, Community Managers, and Resident Managers can update Renewals settings.
Organization Renewals Settings
To update renewals settings for your whole organization, select Default Settings on the page's left sidebar. This may already be selected by default.
Updates made on the Default Settings page apply to all your communities unless you enable community-specific settings. See Community Renewals Settings for information on community-specific settings.
Use the Default Settings page to configure the following information for your AI to use in renewals conversations:

Notice to Vacate: The number of days required for residents to provide notice of their intention to move out.
- Note that this setting needs to be filled out in addition to the Notice to Vacate column in your general Building Settings page. RenewalsAI will only reference the number entered into your Renewals settings.
- Renewal Rate Negotiation: If enabled, the AI can offer renewal options to residents such as updated price and lease terms.
- Required Information for Notice to Vacate: Each enabled field will trigger the AI to ask the resident for that information before creating the Notice to Vacate task. All provided info will be stated in the task.
Community Renewals Settings
To update renewals settings for a specific community, select the community from the left sidebar.
The community settings page contains the exact same customizable fields as the default settings page.
By default, each community inherits its renewals settings from your organization-wide settings. These inherited settings may be locked and grayed out on the community settings page. You can unlock and update these settings by clicking the purple lock switch to the right of each setting.
Additional Settings
Contact Support to configure any settings that do not appear on your Renewals Settings page. This includes:
Next Business Day Handoff Language: When your AI hands off a renewals question to an onsite team member, it tells a resident that the team member will respond on the next business day if:
- The conversation takes place on a weekend or holiday.
- The conversation takes place after your business hours and the following day is not a business day.
Note that this feature is enabled by default.
