To prevent your AI Assistant from scheduling tours at a particular time, you can add a blackout to your calendar. Blackouts can be used to block off both one-time and repeating events, such as staff meetings or holidays when on-site teams will not be available for hosting tours.

Navigate to the Calendar page in app.meetelise.com

Click Create > Event

Fill in the following fields:

Title for blackout time

Start / End Times
-
Check the "Don't schedule tours during this event" box

Repeating times (if applicable)

Click Save and confirm the event appears on the property calendar

To add blackouts to your calendar:

Navigate to Property Calendar from the CRM Settings menu

Click +Add Blackout in the upper right corner

Select either One Time or Recurring

For One Time blackouts
-
Input: Start Date, Start Time, Duration Hours and Minutes, Notes (if applicable)

Save

For Recurring blackouts
-
Select the occurrence frequency with the Occurs dropdown

Input the recurrence parameters
-
Add Scheduled Times and Recurrence Range as necessary

Save

Note that Yardi does not recommend scheduling more than one year's worth of recurring calendar events at a time.
To sync your blackout dates in Site Manager so that they will update on our end:

In Site Manager, navigate to Content & Settings > Settings > Appointment Settings

Check the box for "Use CRM Blackouts for guided tours"

Click "Import CRM Blackouts" to import them

Click Add Event or select the time on the calendar

Fill in the following fields:

Event Type = Unavailable or General

Event Title

Start / End Time

Recurrence (if applicable)

Calendars - select property

Click Save and confirm the event appears on the property calendar

On the property calendar, click on the day/time that the blackout needs to be applied

Click Add Busy Time

Fill in the following fields:

Title for blackout time

Start / End Times

Check the "Busy" box

Repeating times (if applicable)

Click Save Busy Time and confirm the event appears on the property calendar
