Entrata Tracking Numbers
You will need to forward your Entrata Vanity numbers to an EliseAI Vanity Number
Option 1: Submit a ticket with your Entrata rep with the following information
For each property, please help me with the following
- Forward my tracking number to the specific number for the building in the attached CSV file. There is 1 number per tracking number per property.
- Update the welcome audio or intro messages with this blank audio file attached so that calls forward to the numbers in the sheet immediately when called.
Option 2: Redirect the numbers yourself
- In Entrata, go to Setup > Properties > Property > General > Contact method > Tracking Numbers
- Click the yellow pen next to each marketing source
- Change the Forwarding option to a “Specific number”, found in in the EliseAI Vanity Numbers page
- Add the EliseAI number for the building and source
- Repeat for each source
- Important: Please update a blank audio file as a welcome message/intro. This will remove any recordings, such as "thank you for calling, please wait and a staff member will be with you shortly", so calls immediately forward to Elise numbers when called.
Yardi Tracking Numbers
Option 1: File a ticket with your Yardi Rep with the below information
For each property, please help me with the following
- For each building in this CSV file, please set the External Transfer Number for my Marketing Sources in Call Automation to the ones listed. This should take the place of any default schedule or prompts so that numbers are forwarded directly to these numbers when called.
- Please remove any prompts, schedules and welcome audio so that calls transfer to the numbers in the sheet immediately. You can update the welcome audio or intro messages with this blank audio file attached so that calls forward to the numbers in the sheet immediately when called.
Option 2: Redirect the numbers yourself
- Go to the property in RentCafe Site Manager
- Go to Marketing > Call Automation
- For each active Marketing Source, click the "Edit" pencil icon in the Action column
- Under Schedules, choose the schedule to set up call forwarding for and click the "Edit" pencil icon
- Under Prompts, locate Prospect and click the "Edit" pencil icon
- Under Call Routing, select "External Transfer" from the dropdown menu
- Note that you may need to first uncheck the "Offer to Property" box to change the dropdown menu
- Directly below under Settings, replace the External Number for the property with the EliseAI Vanity Number that corresponds with the correct source
- Remove all welcome audio and prompt audio by inserting a blank audio file (these are all recreated in Elise)
Note that this process will need to be completed for each schedule and each property that needs to forward to EliseAI.
Knock Tracking Numbers
Knock: If you are on VoiceAI Leasing only
Option 1: Submit a ticket with your Knock Rep
For each property, please help me with the following
- Update the prospect destination number to the ones in this CSV. The numbers should correspond to the properties listed.
- Please also remove any recordings or audio so calls immediately forward to Elise numbers when called. You can update the welcome audio or intro messages with this blank audio file attached.
Option 2: Redirect the numbers yourself
- Go to Source > Building
- Click the pencil icon for Prospect Destination Number >
- Copy and paste the EliseAI Vanity Number into each of the prospect destination number columns (you only need 1 number with source = Knock)
- Remove any recordings or audio so calls immediately forward to Elise numbers when called (these are all recreated in Elise)
Knock: If you are on Leasing and Resident VoiceAI
Option 1: Submit a ticket with your Knock Rep
For each property, please help me with the following
- Update the prospect and resident destination number to the ones in this CSV. The numbers should correspond to the properties listed.
- Remove any recordings or audio so calls immediately forward to Elise numbers when called. You can update the welcome audio or intro messages with this blank audio file attached.
Option 2: Redirect the numbers yourself
- Go to Source > Building
- Click the pencil icon for Prospect Destination Number >
- Copy and paste the EliseAI Vanity Number into each of the prospect destination number columns (you only need 1 number with source = Knock)
- Repeat Step 3 for the Resident Destination Number
- Remove any recordings or audio so calls immediately forward to Elise numbers when called (these are all recreated in Elise)
